Copilot Readiness Assessment: Preparing Microsoft 365 for Copilot

A Copilot readiness assessment checks whether an organization’s Microsoft 365 data, permissions, security, licensing and people are ready for Microsoft 365 Copilot before it is rolled out. Copilot answers using content each user already has permission to access, so the biggest readiness risk is oversharing: files, sites and Teams that are open to far more people than intended. A readiness assessment finds and fixes those gaps, sets guardrails and plans a pilot that proves value.

This article explains what Copilot readiness involves and how a Copilot consulting engagement works. RockTeam delivers Copilot readiness as part of our Microsoft 365 consulting services.

What a Copilot Readiness Assessment Covers

AreaWhat is checked
Data and permissionsOversharing in SharePoint, OneDrive and Teams, broad groups such as “Everyone”, anonymous and organization-wide links, stale sites
Data protectionSensitivity labels, data loss prevention and retention for the data Copilot can reach
Security and identityMFA, conditional access, admin roles and guest access
LicensingEligible Microsoft 365 plans and the Copilot add-on for pilot and production users
Technical prerequisitesMicrosoft Entra ID accounts, OneDrive and Exchange Online mailboxes, current Microsoft 365 Apps and Teams
Use cases and peoplePriority scenarios by role, champions, training and success measures

Why Oversharing Is the Biggest Copilot Risk

Copilot does not grant new access. It makes existing access far easier to use. A spreadsheet of salaries in a site shared with the whole company was hard to find before; with Copilot, a simple question can surface it. Microsoft’s own deployment guidance focuses on three areas for this reason: remediating oversharing, setting up guardrails and meeting regulatory requirements.

Tools that help

  • SharePoint Advanced Management, included with the Copilot license, for finding and fixing overshared sites and managing site access.
  • Microsoft Purview for sensitivity labels, data loss prevention, insider risk and compliance controls on Copilot and the data it references.
  • Access reviews and site owner attestation to confirm who should still have access.

Copilot Readiness Checklist

  1. Identify the sites, Teams and libraries with the broadest access and the most sensitive content.
  2. Remove organization-wide and anonymous sharing where it is not needed.
  3. Apply sensitivity labels to confidential content and configure DLP.
  4. Archive or delete stale content so Copilot draws on current information.
  5. Confirm MFA, conditional access and admin role hygiene.
  6. Confirm licensing and technical prerequisites for pilot users.
  7. Pick high-value use cases by role and define how success will be measured.
  8. Train users on prompting, reviewing output and handling sensitive data.

Readiness builds directly on a Microsoft 365 security assessment. Organizations that also run HCL Domino can add AI there too with Domino IQ, which keeps data inside the Domino environment.

Copilot Readiness FAQs

A review of Microsoft 365 data, permissions, security, licensing, technical prerequisites and use cases to confirm an organization is ready to roll out Microsoft 365 Copilot safely and usefully.

Yes. Copilot grounds its answers in content each user already has permission to access. That is why oversharing must be fixed before rollout.

Oversharing. Files and sites open to more people than intended become easy to surface through Copilot, so permissions, sharing links and sensitivity labels should be reviewed first.

SharePoint Advanced Management, included with the Copilot license, helps find and fix overshared sites, and Microsoft Purview provides sensitivity labels, data loss prevention and compliance controls.

A readiness assessment usually takes a few weeks. Remediation depends on how much oversharing is found, and a pilot typically runs for several weeks before wider rollout.
